Edelman Hub
Privacy Policy
How Edelman Hub collects, uses, stores, shares and deletes information. Effective November 3, 2026.
1. Who we are
Edelman Hub (www.edelmanhub.com) is a private website run by Edelman, LLC (doing business as Edelman Heating, Cooling, Plumbing, Electric and Solar), 300 S Calhoun Street, Fairbury, IL 61739 (“Edelman,” “we,” “us”). This policy covers Edelman Hub, including its Training tools and the automations that run them. Our public website and customer services have their own customer privacy policy (opens in a new tab).
2. Who uses the Hub
Edelman Hub is for Edelman employees. You sign in with your Edelman Microsoft 365 work account. The Hub is not open to the public, and it is not meant for customers or for children.
3. Information we collect from employees
- Your work profile from Microsoft 365 when you sign in: name, work email, job title, department and work groups. We use it to show you the right tools and training.
- What you do in the Hub: training progress and quiz scores, points earned and rewards ordered, forms you send (including any photos you attach), your Topic of the Week vote, and when you last visited.
- Edelman Chat questions. Questions are kept without your name so we can see what the assistant could not answer and improve it.
- Technical information your browser sends, such as sign-in and security cookies (see section 7).
4. YouTube and Google data
Edelman Hub uses YouTube API Services. Google’s handling of data is covered by the Google Privacy Policy (opens in a new tab). Using these features means agreeing to the YouTube Terms of Service (opens in a new tab).
Whose Google data
Only Edelman’s own YouTube channel. An authorized Edelman administrator connects the channel once with Google sign-in (OAuth). Employees never sign in with Google. We never ask for, see or store Google passwords.
What we access
- Video details for videos a manager adds to training: the video ID, title and channel name.
- Captions for videos on Edelman’s channel: the list of caption tracks and the caption text of the track we use.
- Uploads, only when a manager chooses to upload: the video file, and the title, description, visibility (public, unlisted or private) and audience (made for kids or not) the manager sets. The file goes straight from the manager’s browser to YouTube; the Hub doesn’t keep a copy.
We do not access the channel’s subscribers, comments, messages, analytics, revenue or any other Google account data.
How we use it
- To fill in a training video’s title.
- To turn captions into a transcript the manager reviews. The Hub then uses it to suggest a short description, study notes and quiz questions. The manager checks and edits these before employees see them.
- To upload training videos to Edelman’s channel when a manager asks. Nothing is uploaded or changed on YouTube without a manager starting it.
- To play training videos in YouTube’s embedded player.
We use YouTube data only to provide these Training features. We do not use it for advertising, we do not sell it, and we do not use it to build profiles of people.
Who it is shared with
- Our AI writing service. Transcript text is sent to OpenRouter, which passes it to Anthropic’s Claude model, only to write the description, study notes and questions. Under our settings these providers may not use it to train their models.
- Microsoft. Training courses, including transcripts and video titles, are stored in Microsoft Dataverse, part of Microsoft Power Pages, which hosts the Hub.
- Our automation server. Requests to YouTube run through n8n on a private server Edelman operates, hosted by Hostinger.
- Edelman employees who can open Training see the training content, including transcripts. Only managers can change it.
We do not share YouTube data with anyone else, except where the law requires it.
How long we keep it
- The Google sign-in token is stored encrypted on our automation server and kept until the channel is disconnected. It is used only for the features above.
- Caption text read from YouTube is deleted from the Hub within 30 days. A manager can read it again from YouTube when needed.
- Video titles read from YouTube are refreshed from YouTube at least every 30 days, or removed if the video is no longer available. Titles a manager types are the manager’s own.
- Short-lived processing records on our automation server are deleted automatically within 14 days.
How to revoke access or delete data
The channel owner can remove Edelman Hub’s access at any time from the Google security settings page (opens in a new tab), in addition to our own deletion process. To ask us to delete stored YouTube data, email website@edelmanteam.com. We delete it within 7 days of a request, and within 7 days after we find that access has been removed. Deleting data from the Hub does not delete anything on YouTube; to remove a video from YouTube, use YouTube Studio.
5. How we use information
- To run the Hub: show your training, tools and forms, keep your progress and points, and route forms to the right people.
- To improve Edelman Chat answers and the Hub itself.
- To keep the Hub secure and meet legal and recordkeeping needs.
We do not sell personal information, and we do not show ads in the Hub.
6. Who we share information with
Only service providers that help us run the Hub, and only what they need:
- Microsoft (Microsoft 365 sign-in, Power Pages, Dataverse, SharePoint, Azure storage and search, and email).
- Our automation server (n8n, hosted by Hostinger).
- Our AI services (OpenRouter and Anthropic) for Edelman Chat and Training. Only the question or training text is sent, not your profile.
- Authorities, when the law requires it.
7. Cookies and your device
The Hub uses cookies that are needed to sign you in and keep your session secure. Some pages keep small settings in your browser, such as an unsent draft. Training videos play in YouTube’s embedded player, and YouTube may set its own cookies and collect information as described in the Google Privacy Policy (opens in a new tab). We do not use advertising cookies, and we do not let other companies show ads in the Hub.
8. Keeping and deleting information
We keep employee information only as long as Edelman needs it for business and legal records, then delete it. YouTube data follows the shorter limits in section 4.
9. Security
- All traffic is encrypted (HTTPS).
- Only signed-in Edelman accounts can use the Hub, and features are limited by role.
- Passwords, keys and sign-in tokens are stored encrypted and limited to the people who run the Hub.
No system is perfectly secure, but we work to protect information and fix problems quickly.
10. Your choices
Employees can ask to see or correct their Hub information by contacting us (section 13). The YouTube channel owner can revoke access as described in section 4.
11. Children
Edelman Hub is for Edelman employees. It is not directed to children, and we do not knowingly collect information from children.
12. Changes to this policy
We will update this page and its effective date when our practices change, and let employees know on the Hub. If we change how we use Google or YouTube data, we will ask the channel administrator to approve the change first.
